For Perfex CRM 3.4 · Time · Approvals · Reports · Meetings · Roadmaps · OKRs · Client Support

Your team's week.
Tracked, approved, billed.

Start a timer from the Perfex header, send the week for approval, see where the hours went — and run the meetings and customer calls around that work. TeamPulse writes task time into Perfex's own task timers, so your timesheets, project figures and invoices keep working the way they always have.

  • 1timer that writes Perfex task timers — billing keeps working
  • 3kinds of meeting: agenda only, private Jitsi, Zoom
  • 0screenshots, keystrokes or websites recorded
  • 0Perfex core files changed

Why Perfex TeamPulse

The hours you sell. The meetings you hold. In the CRM you already use.

Agencies and service teams lose billable time to forgotten timers, spreadsheets nobody approves and meetings whose decisions vanish. TeamPulse keeps all three inside Perfex — next to the projects, tasks, customers and invoices they belong to.

“We bill less than we work.”

Timers are forgotten, time is typed in at the end of the month, and half of it never reaches an invoice.

With TeamPulseA timer sits in the Perfex header on every page. Time on a task lands in Perfex's task timers at once, so Bill tasks on invoices and the project timesheet see it — and forgotten timers stop by themselves.

“Who checked these hours?”

Timesheets live in spreadsheets; nobody signs them off before the invoice goes out.

With TeamPulsePeople send their week. Approvers see every waiting week in one queue, approve many at once or send one back with a note, and lock what has been billed.

“What did we agree in that call?”

Notes stay in someone's notebook; next steps are lost before Monday.

With TeamPulseEvery meeting has an agenda, shared notes and next steps with an owner and a due date — and a next step becomes a Perfex task in one click.

What is inside

Four tools. One team rhythm.

Use all three or only the ones you need — each part has its own permissions, settings and overview card.

  • TimeTimer, timesheets, approvals, reportsA header timer and manual entries on Perfex tasks or general work, weekly sheets with approvals and locking, and reports with billable share, utilisation and Excel export.
  • MeetingsAgenda, notes, next stepsAgenda-only meetings, private Jitsi or Zoom calls, invitations with calendar files, reminders, repeating series, a calendar, and next steps that become Perfex tasks.
  • PlanRoadmaps, OKRs, mentionsProject roadmaps with dependencies and the critical path, objectives and key results that update from Perfex, and one inbox for every @mention.
  • Client SupportSee the customer's screen — with consentSend an invitation, the customer agrees and picks one window or screen, you look along. View-only, nothing recorded, your name and colours on the page.
  1. 1TrackStart, pause and stop from the header, or add time by hand for a task or general work.
  2. 2SendAt the end of the week each person checks their days and sends the week for approval.
  3. 3ApproveApprovers approve in bulk, send a week back with a note, and lock the weeks that were billed.
  4. 4Bill and learnTask time is already in Perfex for invoicing; reports show hours, billable share and utilisation.

Timer

One click from any Perfex page.

The timer lives in the Perfex header: pick a task you are assigned to — recent ones first — or general work, add a short note and start. Pause for lunch, resume, stop. The Time page shows your week day by day or as a grid, with every entry ready to fix.

  • Header timer on every admin page, with recent tasks, pause, stop and Add time
  • Manual entries and corrections with Perfex's date picker, in your own time zone
  • General work for internal time, billable or not — it never reaches an invoice by accident
  • Daily limit with a warning for the person and the approver; forgotten timers stop after the hours you set
  • Optional weekday reminder for people who have not tracked anything yet
  • Starts and stops made with Perfex's own task timer are picked up too — and so is your existing timer history

Perfex task timers

Lands where Perfex bills from.

Time on a task is written into Perfex's own task timers the moment it is tracked — or, if you prefer, only once the week is approved. The task timesheet, the project's logged hours, Bill tasks on an invoice and Perfex Cash & Capacity all read it without any extra step.

  • Billable follows the task's billable setting in Perfex; the staff member's hourly rate is kept with each entry
  • Invoiced tasks are protected: their time can no longer change
  • Logging follows Perfex's rule — people log time on tasks they are assigned to
  • Uninstalling TeamPulse never removes those task timers: they are your billing record

Approvals

Weekly timesheets, signed off.

Each person sends their week. Approvers see the waiting weeks of the people they approve for, open a week to read it day by day and task by task, and decide — one at a time or many at once.

  • Approve in bulk, send back with a note, lock billed weeks, unlock or reopen when needed
  • Weeks over the daily limit and weeks changed after approval are flagged
  • Approvers decide for everyone or only for their Perfex departments; self-approval is off unless you allow it
  • Bell notifications when a week is sent, approved or sent back
  • Approvals off? Then time simply stays editable and nobody signs it off

Reports

Where the hours went — and what you can bill.

Pick a period, filter by people, project, customer, billable or approval status, and group by person, project, customer, task or week. Totals, billable share, utilisation against each person's capacity, approved hours and hours still waiting, a chart per day and every entry behind a row.

  • CSV and Excel export of the summary or of every entry
  • Utilisation against weekly capacity, with a different figure per person
  • Everyone sees only the people they may see; staff see their own time
  • Twelve widgets for Perfex Brain Pro dashboards

Meetings

Meetings that end in tasks.

Schedule a meeting with an agenda, a customer, a project and the people who should come. Write shared notes during it and leave with next steps that have an owner and a due date — and turn any of them into a Perfex task.

  • Agenda only for rooms and phone calls, or a call on your private Jitsi server or Zoom account
  • E-mail invitations with a calendar file for staff and customer contacts, updates and cancellations
  • Reminders, repeating series (daily, weekly, monthly), a month and week calendar
  • Optional AI summary of the notes through Perfex AI Staff: it proposes next steps, you choose what to keep
  • Searchable people pickers; times in each person's time zone

Project roadmaps

See every project's plan on one timeline.

Each Perfex project gets a Roadmap tab: its phases, Perfex milestones and tasks as bars on a timeline. Drag to move, drag the edges to change dates, link items finish-to-start with a lag — TeamPulse writes the dates back into Perfex's own milestones and tasks.

  • Critical path highlighted, broken dependencies flagged, a today line, week, month and quarter zoom
  • Move linked items: push the work that depends on a late task by exactly as much as needed
  • Portfolio roadmap of every project you can see, filtered by customer, member and status
  • A read-only roadmap in the client portal per project — off until you share it
  • Export to PNG or CSV; Perfex rights decide who may move milestones and tasks

OKRs

Goals that update themselves.

Set objectives for the company, a department or a person for a quarter or your own dates, align them to the objective they support, and measure each with key results — numbers, percentages, money or a milestone, with a start, a target and a weight.

  • Automatic progress from Perfex: tasks completed in a project, invoice payments received, leads converted, a milestone reached
  • Check-ins with the new value, a confidence level and a comment, kept as history
  • Progress rings, an at-risk list that compares progress with the pace of the period, and an alignment tree
  • Everyone sees the goals; people add their own personal objectives; managers run the rest

Mentions

Never miss an @mention.

Every staff member gets an @ in the Perfex header with the number of unread mentions, and one inbox for everything people wrote to them: task comments, project discussions, file comments and notes on leads, customers and staff.

  • @ in notes: type @ and a few letters, pick from the people who can see that record
  • A notification and, if you like, an e-mail for the person mentioned in a note
  • Unread and all, search, filter by where it was written and by task tags
  • Perfex's own mentions in task comments and discussions land in the same inbox
The Mentions inbox: who mentioned you, where, the text around the mention and when

Switching from another module?

Bring your data with you.

TeamPulse finds the data of several popular OKR, mention, roadmap and workload modules on your install and imports it: objectives with key results and check-ins, mentions, task dependencies and sprints, working hours as weekly capacity. A dry run first, one batch you can undo, never a record twice — and the other module's tables are only read.

Client Support

See the problem on their screen. Only with their yes.

Create an invitation for a customer contact, send the link (or let TeamPulse e-mail it), and wait. The customer reads what will happen, ticks the agreement and picks one window or screen. You look along; they can stop at any moment.

  • View-only: no remote control, no background watching, nothing recorded
  • Optional voice: the customer may share a microphone, you may switch yours on
  • Contact sign-in or a one-time link; links expire and can be replaced
  • Your company name, logo and button colour on the customer page — never the module's name
  • Your own relay (TURN) and STUN servers, named to the customer on the page; HTTPS and browser checks with clear messages
  • An outcome note the contact sees in the client portal afterwards

Privacy

Time people declare. Nothing more.

TeamPulse records the time people track and the meetings they hold — and tells everyone exactly that on its Privacy page, with what it keeps about them and a download of their own data.

  • Retention periods for every kind of data, removed a little at a time by the Perfex cron job
  • Remove old data now with a count first and a typed confirmation
  • Export a person's data as a ZIP of JSON and CSV files, with a one-time download link
  • Secrets sealed with Perfex's encryption; Zoom host links are never stored

Security & control

Each person sees what their role allows.

Seven Perfex permissions decide who tracks time, who sees everyone's, who approves, who manages meetings, who runs Client Support and who configures the module.

  • Every change is a POST with Perfex's CSRF token and a permission check; errors come back as messages, never as raw pages
  • One running timer per person, no overlapping entries, row locks on every state change
  • Hashed one-use support codes, consent checks on both sides, links that expire
  • Zoom webhook signatures with freshness checks; Zoom and Jitsi secrets sealed
  • Every setting, decision, removal and export in the module's audit trail
  • No Perfex core file changed; deactivate it and everything stops, your data stays

Questions

Does it replace Perfex's own task timer?

It builds on it. Time on a task is written into Perfex's task timers, so the task timesheet, project hours and Bill tasks on invoices work as before. Timers started with Perfex's own button are picked up by TeamPulse too, and your existing timer history appears in the reports.

Does TeamPulse watch what people do on their computers?

No. It records only the time people declare with the timer or by hand, and the meetings they hold. It takes no screenshots and does not record keystrokes, websites, window titles or location. Its Privacy page tells every staff member exactly this.

Can customers see anything?

Only what concerns them: meeting invitations by e-mail with a calendar file, and Client Support sessions they are invited to — on a page with your company's name and colours. Customers never see time entries or reports.

Is Client Support remote control?

No. It is view-only screen sharing in the browser, after the customer agrees and picks what to share. You cannot click, type, install anything or record. Customers need a current desktop browser; the CRM must be served over HTTPS.

Do I need Zoom or Jitsi?

No. Meetings work as agenda-and-notes meetings for rooms and phone calls. Connect your Zoom account (a Server-to-Server OAuth app) or your own Jitsi server with token sign-in to add video calls.

I used the 0.2 development preview. Do I lose data?

No. Upload 1.0.0 over it; the database upgrade only adds tables and columns. Work sessions, meetings and support sessions are kept, and 0.2 work sessions are carried into the new time entries.

Who can see what?

Staff with Track own time see their own time and the meetings they are invited to. See everyone's time opens the team's time and reports; Approve timesheets the approvals queue; Manage all meetings every meeting; the two Client Support rights run sessions; Configure TeamPulse the settings.

Does it change Perfex core files?

No. TeamPulse uses Perfex's module hooks and its own tables. Deactivate it and its menu, header timer and background work stop at once; your data stays until you uninstall.

What are the requirements?

Perfex CRM 3.4 or newer (tested on 3.4.1), PHP 8.0 or newer, MySQL or MariaDB and Perfex's cron job. Zoom needs outgoing HTTPS; Client Support needs the CRM on HTTPS and, across networks, a TURN relay such as coturn.

Is it translated?

Yes. The interface ships in English, Spanish, Portuguese (Brazil), French, German, Italian, Dutch, Turkish and Russian.

How do I get support?

Contact us through sellmycode.net. Six months of support are included with every licence. Please add the module, Perfex and PHP versions and a screenshot — never passwords or secrets.
